Hello everyone David A Cox here with Tech Talk America and today, Im gonna be going,over something that I know freaks a lot of people out.,Today, were going to be talking about how to switch email addresses from an old email,address over to a new address.,Were going to be going over a lot of different simple tips and tricks that really no matter,what it is that youre going from and what youre going to, all of these tricks Im going,to be sharing with you are basically conceptual so no matter what application youre using,,this should apply.,Now, if you get lost at all over the course of this class, keep in mind if you ever want,some private support from yours truly, youre always welcome to book a private lesson with,me through my website at techtalkamerica.com/privatelessons.,The first step in this process is of course to figure out where are you going to, so if,you already have a new email address picked out and good to go, feel free to skip this,part.,You can fast forward to that time code and well pick up.,For those of you however who need a little bit of advice on the subject matter, the service,that I tend to recommend these days more than anything is simply iCloud.,A lot of people out there use iCloud for some of its features but a lot of people dont,use it for email and so literally all you need to do to use iCloud for email is turn,the feature on.,You can do it either in your phone, your iPad or your Mac.,So now that youve got your account set up, I want to give you the first trick as far,as starting to inform your contacts especially the people who you correspond with on a regular,basis to let them know about this upcoming change and what were going to basically do,is just utilize the signature feature thats built already into your email.,So the signature is of course where you would put your name, your phone number, your email,address, your website address – all of that information and if you havent been using,it, youll find it in the preferences.,So if we go into this feature, what we can basically do is just take whatever signature,youre already using and just bump it down a couple of lines and what youre going to,do is first put some sort of a little note to let people know about this upcoming change.,That way, every time you either reply to or create a new message, youve got that message,already out there.,The next trick Id like to introduce you to is a little website service that I have mentioned,in past classes and today were going to be using it but for something that its not actually,intended for.,Theres a little website service called unroll.me.,If youve never heard of it, be sure to check it out.,Its a great service where you can go and itll basically analyze all of your emails,and find out all of those different mailing lists that youre on and give you an easy,way to keep the ones that you want and get rid of the ones that you dont want.,Today, for this purpose, we dont so much care about the unsubscribe feature, Im more,interested in finding out what websites you do want to hear from.,So, basically, after you go through all the different websites that it senses that you,have accounts with, we want to kind of make a list – two different lists technically because,all of your websites are going to break down into these categories.,The first are gonna be websites that send out newsletters.,So, for example, like health blogs, okay.,So you want to make sure that you write down those websites so that you can go to those,websites and sign up again but with the new email address that youre creating.,The more important one though to make note of are the websites where you actually have,accounts, where you have a login and password.,The reason why you want to really make sure that you write these down is that you need,to go to each one of these websites and update the email address that is associated with,that website to reflect your new email address.,The next step is to transfer all of your old email from your old account into the new account.,Now really, the only way to do this is from a computer and if you go to do it on the Mac,,of course, you can use select all to, for example, move the Inbox, the one tip I want,to give you about doing this is that when you have both accounts there and you move,all of your old email from your old account into your new account, keep in mind that your,upload speeds tend to be slower than your download speeds.,Meaning, you need to give it time to move all of your email from one account into the,other account, and a lot of people, this is where they get mixed up, is they get impatient,or they quit the mail program before it has had time to reflect those changes and we hear,about people losing data in this process, many times that is where they screw up.,So, not only do you have to do this for the inbox but if you are the kind of person who,has folders of email that are saved, like for example, maybe you have a folder of emails,for receipts, okay, all of those individual folders, you have to do the same thing; move,them from one account to the other.,The next step is to migrate over all of your contacts and calendars.,Now this isnt going to apply to all of you but for a lot of people out there when they,have an account with someone for example like Gmail, Gmail offers more than just email.,They have an ability to store contact information and calendar data.,Once again, moving this data over from one service to the other is really gonna require,a computer because that way you can use one of the services that come with the Mac.,For example, you can launch the calendar application, import all of those calendars and then export,them into the new account.,So this is a process that has to be done for each account.,Again, for contacts, for calendars and potentially anything else that you might have there like,notes.,The next step is to let all of your contacts know of course about your new email address.,Im gonna give you a little trick here for how to do this quickly.,Now, theres a little disclaimer here.,You can only send so many emails in one day.,This is limited based on what service you go with and also by your internet service,provider.,So, I cant tell you what the magic number is for all of you but for most people its,around a couple hundred.,So if you have thousands of contacts, it may take a while to be able to let everyone know,about your change of email address.,But for those of you who have less than that, what you can always do is try to send it out,and worst case, if it doesnt work, you can just break it into smaller batches which you,can send out over the course of a couple of days.,So heres the quick trick, if you are using a Mac, all you have to do is go into the contacts,app and create a brand new group called Everyone.,Then take all of your contacts and drag them and drop them into that brand new group called,Everyone.,Now, when you go to create your email to let everyone know about your new email address,,heres what youre going to do.,Under the To field, send it to yourself.,Dont send it to everyone because thats just gonna cause a whole different type of chaos.,Okay, you dont want to do that.,Instead, send it to yourself and blind carbon copy it or BCC, send it to everyone else.,And youll notice here that if I click on this little arrow, I can see that when I type,in the word Everyone, in fact, everyone I put into that group, their emails are automatically,there.,So this can save you a lot of time.,The next step is to turn on the auto forwarding feature.,No matter what email service youre going from, every email has an auto forward feature.,That just makes sure that if someone emails your old account, it sends it automatically,to the new account.,And then we have the final stage, what to do after you are through that three to six,month period.,Well, theres a couple of different things that you can do, heres what I recommend more,than anything.,First of all, I would never ever recommend that

simple solution to managing,emails,now windows mail supports multiple email,accounts for those who need separate,accounts,for different purposes and it also keeps,each account,separate before you can add your email,account,decide if the account only needs access,by one device,or if the account needs access from,mobile devices,for example if this pc is the only,device,to access my email account then i can,use a post office protocol or,pop this protocol downloads the emails,to my pc,and then delete them from the server at,the end of the task this protocol,does have its benefits you have access,to your emails regardless of internet,availability,and store as many emails on your pc as,you so desire,however if the pc was to crash,you can lose all those emails without a,backup,and you can only access your emails on,that device,an alternative would be the internet,message access protocol imap,was created to allow remote access to,email stored on a remote server,now this allows multiple clients or,users,to manage the same inbox so whether you,log in from your home pc your smartphone,your tablet or even your work computer,you will always see the same emails,and folder structure because they are,stored on the server,and all changes that you make on your,local copies,are immediately synced to the server,imap is the better choice if you have,a reliable and constant internet,connection,need access to the emails on multiple,devices,and if you are worried about backing up,the emails,this will come in handy so if something,did happen to your computer,you can still have access to those,emails,next you will need the names of the,incoming mail server,and the outgoing mail server with the,port numbers used for communications,with that server,now this information can be attained by,the service provider,for example comcasts an incoming mail,server,is imap.comcast.net,or you can use pop3.comcast.net,and their outgoing email server is,smtp.comcast.net,the default ports for pop are 110,which is an unsecured connection and,995 for a secure connection,imap uses 143 for,unsecured connections and 993,for secure connections smtp which is,short for,simple mail transfer protocol uses port,25 for unsecured connections while,465 is used for secure connections,now note that not all service providers,will use these ports,so you want to be sure that you do check,with your service provider to know which,ports to use for making a secure,connection do not use the port,if its an unsecured connection always,use a secure,connection if your email is from,gmail yahoo or perhaps hotmail,windows mail can make setting up your,email a breeze,once you get the information required,then,you can go ahead and open windows mail,now when you open it youre going to,come to a window like this as you can,see its got a variety of different,types of email accounts that you can add,you have outlook.com office365,google yahoo icloud and of course you,can do the manual one down here,if you have something like comcast,mediacom,or xfinity um which i think is comcast,you have cox cable and att,svc global and so forth you may have to,do it manually and ill show you how to,do that here momentarily,now if you have something like google,yahoo and hotmail stuff,all you have to do is just click on the,icon that you need,in this case i need google because im,going to open up,add the gmail account,its going to connect to the service,now once it comes up to this window you,can do one of two things,you can either create a new account if,you havent got one already,you can also create one,or if you do have one all you need to do,is type in your email,and click next next you can,type in your password now if you have,any trouble with,getting into the account you can always,select,forgot password so let me go ahead and,type in my password,now when you sign into it you can get in,from,something like this which is normal,because,google is just wanting to make sure that,you,are the one thats accessing the account,and not some scammer or,hacker once you have completed the,verification process,youre going to come to this window,or this screen and this is to let you,know that windows which is your computer,here,is wanting to access your google account,and,youre going to see your email address,thats in question,its going to ask you everything that,its going to,require uh reading composed and,permanently blah blah blah blah and if,you,are trusting the software that is,requesting,access to your account which in this,case is windows mail,if everything holds true then just click,allow,now its going to ask you how do you,want them to send your emails and what,name,so im just going to type my name,and then choose sign in,now once its completed youre going to,see that its all done,the account was set up successfully and,it also shows that you can also get the,app,uh to install on your phone and stuff,like that,and once youre finished you just click,done,and its automatically going to,connect to your server and then its,going to,download your emails so as you can see,when youre doing stuff like google,and yahoo and so forth then its pretty,simple you just sign into the account,you may have to verify the account make,sure its you to sign again,and then go through the process as i,just showed you,and you have access to your email now,by default gmail hotmail and yahoo,uses imap which is the best,option to use because it synchronizes,your emails on all your devices this,means you can access your emails from,any device,as i described earlier and this is,pretty much how you,can set up a gmail account or yahoo,its pretty straightforward as you could,tell,next im going to show you how to set it,up manually,if youre using a different type of an,account to where you have to manually,enter the information needed to do that,of course were going to come back to,the added account you want to scroll all,the way to the bottom,and youre going to see advanced setup,youll go ahead and click on that,this is going to ask you uh what type of,advanced setup were doing,were going to internet email now on,this,one its going to ask you for your email,address,the user name uh this could be an email,or it could be a username that the,service provider,gave you youll have to ask them exactly,which one to use,it does show examples down here at the,bottom as to what it could be,but do check with your service provider,to find out what the,username would be uh of course youll do,your,password uh you can name the account,uh so when you sign up and then its,gonna show the account,name for that so you can put like,business or,work or whatever you wanna call it,then down here you have the name you,want to appear,when you send emails,here youll put in the incoming email,server,which as you can see here i chose,imap.gmail.com,this wants to know what kind of account,this is,when you click on it its going to give,you a pop3 or imap,the three it just shows a version of the,protocol pop3 is version 3.,imap4 is version 4.,then of course you type in the outgoing,mail server,once you get that done youre going to,have,options down here at the bottom now by,default you should just go ahead and,leave these,checked uh just choose outgoing server,does require authentication,you want to use the same user and name,as password,because by default most of these and i,havent seen one,did it differently but usually the,incoming and outgoing emails,servers use the same username and,password,uh and down here of course you want to,make sure that these two,check boxes are marked because you want,to use,uh secure connections to your email,and incoming and outgoing servers once,youve verified the information,click sign in,once its finished now youre going to,come to this box again,and of course you know you can
